About the Department    

About the Australian Department of Defence. The primary role of Defence is to defend Australia against armed attack. About the Position

This position is required to provide administrative support for visits by Australian delegations to France, and to provide driving support for the Defence Attaché (DA). The position is based in the Defence Office at the Australian Embassy in Paris and reports directly to the DA.

The key responsibilities of the position include, but are not limited to:

Receive and process visit notifications (via the Direction Générale de lArmement)

Monitor email traffic regarding forthcoming visits

Make hotel bookings for visitors as required

Make travel bookings for visitors as required

Prepare detailed visit booklets for VIP visits

Coordinate vehicle arrangements for VIP visits

Prepare Visit to Europe Agreements forms from Brussels for DAs approval

Assist to coordinate major events such as ANZAC Day, involving VIP visits

Assist to coordinate major events anniversary commemorations events such as Fromelles, Pozières, Moquet Farm, Cambrai etc involving VIP visits

Welcome visitors to the Defence office

Driving responsibilities for the Defence Attaché and visitors

Management and administration of vehicle fleet

Management of ceremonial, representational and visit protocol.

Liaison support during salons such as the Le Bourget Air Show, Euronaval and Eurosatory.

General requirements     

This is a security-designated position. The selected candidate will be required to successfully complete a security assessment to the appropriate level. Applicants must be a national of Australia, New-Zealand, America, Canada, or United Kingdom to be eligible for an Australian Government security clearance. Persons holding dual French nationality with one of the above nationalities would not be eligible for a security clearance for this position. Applications that do not specifically address and satisfy this requirement will not be considered.

Fluency in English and a high level of written and spoken French is essential. Applicants being considered for the position may be required to undertake, and if so pass at a high level, oral and written tests in English and French.

Proficiency in Microsoft Office and Internet are essential. Applicants being considered for the position may be required to undertake a test to demonstrate their capacity to use such software.

A drivers license valid in France is essential.

Demonstrated experience and proven ability in the provision of high level secretarial and administrative support

Superior communication skills in both French and English

Demonstrated ability to undertake tasks with minimal supervision, to set priorities and to meet deadlines

Work ethics and ability to function effectively in a position of trust

Initiative, enthusiasm, organisation and a commitment to excellence

Ability to work effectively and harmoniously in a small team; flexibility and high interpersonal skills required

Broad understanding of Defence operating structures is desirable
